WooCommerce + Xero

WooCommerce takes the order, and Xero keeps the books. Integration Fox sends each paid order to Xero as an invoice, with the customer, items, shipping and tax already mapped, so sales are recorded without anyone rekeying them.

How it works

One fully managed sync, set up by our engineers

Paid WooCommerce orders go to Xero as invoices, with customers created or matched on email — fully managed and monitored by our engineers.

FAQ

Common questions about this pairing

Is this a WordPress plugin?

No. Nothing is installed on your store. We connect to WooCommerce and Xero through their APIs and run the sync for you.

Which orders are sent to Xero?

Paid orders: those that reach Processing, and virtual or downloadable orders that go straight to Completed. Pending, failed and cancelled orders aren't sent.

Does every customer get their own Xero contact?

Yes. Contacts are matched on email, including guest checkouts, so repeat customers aren't duplicated. If a customer's details change, the contact is updated from their latest order.

Will the invoice number clash with invoices we raise in Xero?

No. Order numbers are sent with a prefix, such as "WC-1234", set during setup.

Will the tax in Xero match what the customer paid?

Yes. Tax is sent line by line exactly as WooCommerce calculated it.

How are coupons and shipping handled?

Coupons are included in each line's price. Shipping is added as its own line on the invoice.

Does it handle multiple currencies?

Orders are sent to Xero in the currency they were placed in. If your store sells in more than one currency, you'll need a Xero plan with multi-currency.

What happens if an order is cancelled after it's sent?

The cancellation isn't carried across, so your finance team voids or credits the invoice in Xero.

Does it sync payments, refunds or stock?

Not as standard. Payments are reconciled in Xero against your payment gateway's deposits, and refunds are entered as credit notes. If you need these automated, talk to us and we'll scope it.

What if our store uses custom fields or extensions?

Custom fields and non-standard setups are common. We scope these during setup.
