Why Simpro and NetSuite need a proper connection

Simpro and NetSuite are both excellent at what they were built for, and neither was built to be the other.

Simpro owns the operational side of a field service business: quoting, scheduling, job costing, purchase orders, contractor management and the day-to-day reality of crews across multiple sites. NetSuite owns the financial and corporate side: the general ledger, accounts receivable and payable, revenue recognition, consolidated reporting and, for a lot of growing businesses, multiple subsidiaries and currencies.

The friction shows up in the handover between them. A job completes in Simpro and an invoice is raised. That invoice has to reach NetSuite for the receivable to exist. The customer payment lands in NetSuite, but the operations team needs to know about it in Simpro. A contractor submits an invoice against a job, and finance needs it in NetSuite as a vendor bill with the cost sitting against the right job.

When that handover is manual, four things happen, and they compound:

  • Double entry. The same customer, the same invoice, the same vendor, keyed twice by two different people who are both busy.
  • Lag. Because data moves in batches, usually weekly, the financial picture in NetSuite is always a few days behind what is actually happening in the field.
  • Errors. Every re-key is a chance for a wrong number, a missing line, or a cost coded to the wrong job. These are the errors that surface at month end, when they are most expensive to unpick.
  • Slower cash. Invoices that wait for a manual transfer are invoices that get paid later.

None of this is a Simpro problem or a NetSuite problem. It is a gap between two systems that were never designed to talk to each other, and it is exactly the gap we build for.

What the Simpro and NetSuite integration actually syncs

The integration is a two-way sync covering the data that matters most to a field service business running both platforms:

  • Customers and contacts. New and updated customer records stay aligned across Simpro and NetSuite, so operations and finance are working from the same customer list rather than two versions of it.
  • Invoices and credit memos. Invoices raised off the back of Simpro jobs flow into NetSuite with the line detail intact, ready for the receivable to be recognised. Credit memos flow with them.
  • Customer payments. Payments recorded in NetSuite flow back into Simpro, so the operations team can see what has been paid without asking finance.
  • Vendors and contractors. Vendor and contractor records stay consistent across both systems, which matters most for businesses running a large subcontractor base.
  • Vendor receipts and credits. Receipts and credits flow through so accounts payable has a current view of what is owed.
  • Contractor invoices. Contractor invoices raised against Simpro jobs land in NetSuite as bills, with the cost attached to the right job rather than in a general bucket.

Because the sync runs continuously rather than as a scheduled export, both systems stay close to current. Finance is not reporting on last week, and operations is not guessing about payment status.
